Executive Assistant
Provides pro-active support to the Vice-President Central Europe; handles details of a highly confidential and critical nature; collects and prepares information for use in discussions/meetings involving leadership, internal and external individuals; keeps Executive advised on matters that are important and critical; keeps Executive apprised of upcoming events and related requirements to ensure deadlines are met.
This position will be responsible for coordinating activities and for the administrative support to provide an efficient and effective environment. Duties will be varied and this position will require responsiveness to a dynamic environment.
ESSENTIAL FUNCTIONS:
ADMINISTRATION
- Define, Communicate and supervise process in accordance with VP Central Europe
- Manage daily invoices to be paid till payment and present a clear situation of the internal costs
- Define process for check and consistent travel budget
- Provide pro-active support for travel organization for internal and external individuals
- Provide support to facilitate meetings organization, in case of compound synchronization
BUDGET, PROJECTS AND RESOURCE & OPTIMIZATION MANAGEMENT
- Take part in methodology management, consolidation of exploitation information
- Assist to budget planning
- Prepare meeting reports / minutes and communication in English to CEUR team
SECONDARY FUNCTIONS:
- Building maintenance - coordinator on maintenance projects and new projects, responsible for bringing offices, conference rooms, floors, etc. up to standard
- Participation in planning and execution of internal and external audits
- Supporting Managers in education planning a.o. practical tasks
SCOPE AND SIZE:
- Interfaces with internal and external executives, customers and vendors
- Makes high level contacts of a sensitve nature inside and outside the company
- Works closely and collaboratively with all departments on a Global basis
- Reception and Facilities report to this position
EDUCATION
Bachelors degree
EXPERIENCE
• 5 years Executive Assistant
• 5 - 8 years of experience working in an administrative environment that is energetic and well focused.
KNOWLEDGE AND SKILLS
- Experience with Excel, Microsoft Word, PowerPoint and PC proficiency required
- Available when needed
- Open to different cultures and languages
- Excellent organizational and communication skills
- Strong problem-solving ability, use of discretion and detail oriented
- Strong ability to prioritize tasks and multi-task
- Ability to assimilate quickly an understanding of the company and its vision at a very high level while being attentive to the details of the position
- Ability to work independently in a team environment and to maintain confidentiality
- Essential are the abilities to be results oriented through influence and persuasion;
- to have a sense of humor;
- to be flexible and adaptable, and to thrive in a dynamic environment
• Fluent Hungarian and English and French speaker an advantage
